Build your scenarioWHO THIS IS FOR
Model the cost of a small permanent team without treating every occasional collaborator as a full-time seat. Decide your seat definition before comparing plans.
Use a realistic month of activity as your baseline, then compare the same headcount and usage across every plan. An allowance only matters if you actually use it.
Make the monthly versus annual decision visible to the people approving the budget. A lower annual equivalent still means one larger upfront payment.

THE LONGER VIEW
Your selected plan and current monthly assumptions, projected across four quarters. Annual cost is paid once at the start; monthly cost accumulates.
This is a constant-usage projection, not a forecast. Changes in headcount or monthly usage alter the total. Taxes and one-off fees are excluded.
BEFORE YOU DECIDE
Define what counts as an active seat and one run. Make sure the same definitions apply to the real vendor you are evaluating.
Use a representative recent month rather than the busiest single week. Run a second scenario for a plausible peak month.
A lower per-seat rate can sit beside a higher base charge. Compare the total and understand the allowance before choosing a plan.
Confirm cancellation, tax, support, data export and any minimum commitment with the actual provider. This calculator does not supply those terms.
THE SMALL PRINT, IN PLAIN WORDS
The model adds the base platform fee, active seats multiplied by the monthly seat rate, and usage above the included monthly allowance multiplied by the unit rate. Each plan uses the same seat count and usage input.
The unchanged monthly subtotal is multiplied by twelve. The plan’s annual discount is then applied to that full amount, rounded once to the nearest cent. This model applies the discount to the base, seats and overage together; confirm whether your actual vendor does the same.
No. The model assumes the included allowance resets every month. An annual estimate repeats the same monthly usage twelve times; it does not pool allowances across the year.
No. The estimate excludes tax, prorations, setup fees, credits and special contract terms. Add these separately when assessing a real quote.
Yes. Editing seats, usage or the billing cycle creates a custom scenario. Plan comparison and the annual budget projection update from those same inputs.
No. This is a local planning tool for a fictional service. There is no account creation, checkout, payment method or network-based quote request.
AN ESTIMATE IS A STARTING POINT
Replace the example rates with verified plan terms, then use the workbook to prepare a conversation with your team. The result is a planning estimate, not an offer to sell.
